Personal data protection policy

The operators of this website (www.eunicoast.eu) and all its pages take personal data protection very seriously. In this sense, your personal data are treated as confidential information, in compliance with the General Data Protection Regulation (GDPR) according to EU Regulation 2016/679 of the European Parliament and of the Council and EU Regulation 2018/1725 of the European Parliament and of the Council of 23 October 2018 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data.

Whenever you use this website, different types of personal information will be collected (cookies). 

Personal data comprises information used to identify you, either directly or indirectly. The privacy policy sets out the data we collect, how we do so and for what purposes.  

1. About the data controller
The project and personal data processing on the website are jointly undertaken by the West Pomeranian University of Technology in Szczecin, as owner of the EUNICoast Alliance website, and the Legal Office for the Alliance, both of which are the data controllers responsible for personal data processing. 2. What is the lawfulness of processing?
Your personal data (name, e-mail, IP address) are used for the purposes set out in Section 3 and in accordance with the Grant Agreement Requirements on Monitoring Outreach Activities. 
Presumed consent is not valid. Your explicit consent will be required for the following purposes: 

  • Ensuring consent is freely given, specific, informed and unambiguous (GDPR: articles 4 (11), 6–1–a, and 7).
  • Performance of a contract (Grant Agreement – 101177157 – EUNICoast).

3. For what purposes do we use your data?

  • Guaranteeing error-free provision of the website (functional cookies).
  • Analysing user patterns (analytical cookies): browsing patterns are anonymously collected and analysed.
  • Circulating news about announcements (grant calls, etc.), events and activities within the EUNICOAST community through newsletters, publications and other types of releases (newsletter subscription form).

4. What personal data do we process?
In certain instances, our website and pages use what are termed ‘cookies’. Cookies make our website more user-friendly, effective and secure. They are small text files placed on your device and stored by your browser.
Most of the cookies we use are so-called ‘session cookies’ that are automatically deleted when you leave the website. Other cookies will remain stored on your device until you delete them. These cookies enable us to recognise your browser the next time you visit our website.
You can adjust your browser settings to ensure you are notified every time cookies are used. This enables you to either accept cookies for specific instances or reject them in all instances or specific situations. In turn, you may also set your browser to automatically clear cookies when you close it. If you deactivate cookies, the website’s functionality may be limited.
Cookies required for electronic communications, exchanges or certain features you may want to use (e.g. shopping basket) are stored in accordance with Article 6, Section 1(f) in the GDPR. The website operator has a legitimate interest in storing functional cookies to ensure its services are optimised and provided error-free.

This website uses analysis features from Piwik. Piwik uses so-called analytical cookies.
The information generated by cookies when using the website is usually transferred to and stored on a Piwik server in the Europe. Therefore, analytical cookies may only be placed on your device where you give your explicit prior consent (Article 6, Section 1(a) in the GDPR).
Social media handles (on Twitter, LinkedIn, YouTube, etc.) also require consent as they are considered social media cookies placed by third parties.

Server log files: access to server log files is restricted. Only designated individuals may access and read server log files. 
The provider of this website and its pages automatically collects and stores information in server log files that your browser sends to us automatically. The information comprises:

  • Browser type and version
  • Operating system
  • Referrer URL
  • Hostname of the connecting device
  • Server inquiry time
  • IP address

This information is not merged with any other data sources.
The data are saved in accordance with Article 6, Section 1(f) in the GDPR. The website operator has a legitimate interest in displaying the site’s optimised content without any technical errors. Server log files must be stored in order to ensure this.

Newsletter Data
If you would like to subscribe to the newsletter on the website, we will require your name and e-mail to enable us to verify you own the e-mail address provided and consent to receiving the newsletter. No further data will be collected unless you provide clear consent on a voluntary basis. We will only use this information to send out the requested information.
The processing of the details provided in the newsletter subscription form will only take place where you give your consent (Article 6, Section 1(a) in the GDPR). You may withdraw your consent to store your data and e-mail address, as well as to use this information for sending out the newsletter at any time, by clicking the ‘Unsubscribe’ link in the newsletter, notwithstanding the lawfulness of any data processing performed to date.
The data you provide with us in subscribing to the newsletter will be stored until you unsubscribe. Once you cancel your newsletter subscription, the data will be deleted. This will not affect any data stored for other purposes.

Event Registration Data
In order to register for events announced on the EUNICoast website, you may be redirected to an EUNICoast partner's tool or site, which will request certain information from you to register for participation. EUNICoast partners are committed to using tools that ensure maximum compliance with GDPR legislation.

Social Media
EUNICoast is the owner of the ‘EUNICoast’ accounts on social media (LinkedIn and Facebook).
Social media are used for promoting EUNICoast activities, events and updates. Social media administrators will have access to statistics on visitors, followers’ geographic data (town and country), professions, seniority, company, public administration or association size, business sector, etc.

Account Registration and Login
Registration and login for the EUNICoast Digital Campus are handled exclusively through eduGAIN and are available only to individuals affiliated with institutions that are members of our alliance. During registration and login, we process the following data: 

  • User identifier 
  • First and last name 
  • Email address 
  • Home institution 
  • Affiliation (student/employee/staff) 
  • ORCID - a persistent identifier for individuals engaged in research, scholarship, or innovation (if provided by the identity provider) 

This data will be processed solely by organizations that are members of the EUNICoast alliance. 

You log in to your home institution via eduGAIN. As the identity provider, your institution transmits the above-mentioned data to the EUNICoast Digital Campus, which acts as the service provider. This data transmission is necessary to ensure proper authentication and authorization.  

EUNICoast uses your registration data exclusively to provide appropriate support, manage your user account and communicate with you. Your email address will be used to send information related to your account and for messages connected to your activities within the Digital Campus. Once your account is deactivated, your registration data will be locked and later deleted when it is no longer needed to meet legal retention requirements. 

5. What rights do you have as far as your data are concerned?

  • Withdrawal of your consent for data processing.
    A wide range of data processing operations are only possible with your express consent. You may also withdraw your previously given consent at any time. To do so, you merely need to notify us via e-mail (dpo@eunicoast.eu and IOD.kurek@zut.edu.pl) or unsubscribe from the newsletter, notwithstanding the lawfulness of any data collection prior to your withdrawal.
  • Right to object to data collection in special situations; right to object to direct marketing.
    In the event that data are processed in accordance with Article 6, Section 1(f) in the GDPR (legitimate interest), you have the right to object to the processing of your personal data at any time based on grounds related to your particular situation, including profiling based on those provisions. In order to determine the legal basis on which any data processing is based, please see the present privacy policy. If you lodge an objection, we will no longer process the personal data in question, unless we demonstrate compelling legitimate grounds for the processing of your data, which override the interests, rights and freedoms of the data subject, or where the purpose of the processing is to establish, exercise or defend legal claims (in accordance with Article 21, Section 1 in the GDPR).
    Where your personal data are processed for direct marketing purposes, you have the right to object at any time to processing personal data concerning you for such marketing, which includes profiling to the extent that it is related to such direct marketing. If you object, your personal data will no longer be used for direct marketing purposes (in accordance with Article 21, Section 2 in the GDPR).
  • Right to data portability.
    You have the right to demand we hand over any data we automatically process on the basis of your consent to a third party in a commonly used and machine-readable format. Where you request the data be directly transferred to another controller, this will be done only where technically feasible.
  • Information about data restriction, rectification and erasure.
    Within the scope of the applicable statutory provisions, you have the right to request information about your stored personal data, their source and recipients, as well as the purpose of the data processing, at any time. You may also have a right to have your data rectified, restricted or erased. If you have queries about this or any other issues concerning personal data, please do not hesitate to contact us.
  • Right to restriction of processing.
    You have the right to demand restrictions on the processing of your personal data. To do so, you may contact us at any time. The right to restriction of processing applies in the following instances:
    • In the event that you should dispute the accuracy of your stored data, we will usually need some time to verify your claim. Whilst the investigation is ongoing, you have the right to demand we restrict the processing of your personal data.
    • Where the processing of your personal data was/is unlawful, you have the option to request restriction of processing of your data, in lieu of demanding the erasure of said data.
    • Where we no longer require your personal data but you need them to establish, exercise or defend legal claims, you have the right to request restriction of processing of your personal data, instead of its erasure. If you have raised an objection in accordance with Article 21, Section 1 of the GDPR, your rights and our rights will have to be weighed against each other. Where no decision has been made on prevailing interests, you will have the right to request restriction of processing of your personal data.
    • Where you have restricted the processing of your personal data, and with the exception of storage, said data may only be processed subject to your consent, or to establish, exercise or defend legal claims, protect the rights of other natural or legal persons, or for reasons of important public interest of the European Union or a Member States

Right to lodge a complaint with a supervisory authority.
In the event of any violation of the GDPR, data subjects may contact the Data Protection Officers via e-mail (dpo@eunicoast.eu and IOD.kurek@zut.edu.pl). Where the request proves to be well-founded, we will inform you as soon as possible and no later than thirty (30) days after receipt of the request. If you are not satisfied with the response, you are entitled to lodge a complaint with the competent data supervisory authority in Poland: Urzad Ochrony Danyh Osobowych (Personal Data Protection Office); website: https://uodo.gov.pl/.  

6. Who has access to the data?
Local EUNICoast Alliance coordinators have access to your personal data on a strict ‘need-to-know’ basis. This right of access only applies for the purposes stated in this privacy policy.
In order to ensure proper functionality of the EUNICoast website and its newsletter administration, the EUNICoast Alliance Steering Committee collaborates with West Pomeranian University of Technology in Szczecin, which will process your name and e-mail address.
West Pomeranian University of Technology in Szczecin ensures your data are not transmitted to third parties, except in the aforementioned instances, where you have given prior consent or where the access to, and use, retention or disclosure of your personal data are reasonably required (e.g. in compliance with applicable rules and regulations, in order to detect technical or security issues, and protect the rights, property or safety of the EUNICoast Alliance). 

7. For how long will your personal data be processed?
Session cookies are automatically deleted after you leave our website.
Event registration: your personal data will not be retained for any longer than necessary during the period needed for the purposes for which it was processed, i.e. to organise a specific event and carry out event management. Your personal data will be deleted at the end of the project alliance in October 2028. 
Newsletter: the data you provide in order to subscribe to the newsletter will be stored until you unsubscribe. Once you cancel your newsletter subscription, the data will be deleted. This will not affect data stored for other purposes.
Social media: LinkedIn, Facebook, RTD websites and open science journals. 

8. Personal data security 
West Pomeranian University of Technology in Szczecin, as owner of the website, ensures the necessary technical and organisational steps in order to protect your personal data against any loss or unlawful processing.
West Pomeranian University of Technology in Szczecin guarantees your personal data will remain secure through organisational procedures and technical measures, in accordance with Polish and EU GDPR regulations and standards.
All West Pomeranian University of Technology in Szczecin employees respect the General Code of Conduct for personal data processing and confidential information approved by the EUNICoast Steering Committee, and have access to online manuals on how to use your personal data correctly.

9. Amendments to the privacy policy
This privacy policy may be amended where new or modified services or functionalities are available and/or in order to ensure ongoing compliance with applicable rules and regulations.
Where the privacy policy is amended, you will be notified by e-mail and sent a link to the amended privacy policy.
In accordance with Article 26 of the GDPR, a Joint Controller Agreement has been established between the West Pomeranian University of Technology in Szczecin and the EUNICoast Legal Office. This agreement defines the respective roles and responsibilities for ensuring GDPR compliance, particularly regarding data collection, storage, data subject rights management, and communication. The West Pomeranian University of Technology in Szczecin remains responsible for technical data protection measures of the website infrastructure, while the Legal Office ensures the compliance of project-wide processing activities and provides oversight on the proper handling of data subjects' rights. Data subjects may exercise their rights with either party, who shall then coordinate to respond in accordance with the agreed arrangements.

In accordance with the Schrems II judgment of the Court of Justice of the European Union (C-311/18), personal data transfers to third countries such as the United States require appropriate safeguards.

On this website, users may be invited to complete online forms in order to register for events, submit feedback, or participate in surveys. Whenever personal data is collected through such forms, the following information will be clearly provided on the form itself:

  • The specific purpose of data collection
  • Whether data fields are mandatory or optional
  • The legal basis for processing (e.g., consent or contract performance)
  • The retention period for the data collected
  • A link to this Privacy Policy

Users must explicitly consent to the processing of their data by ticking a dedicated checkbox prior to form submission. In the absence of such consent, the form cannot be submitted. Personal data submitted through these forms will be processed only by authorised personnel and solely for the purpose stated.
